What childcare billing software has to handle that invoicing tools don't

Generic invoicing software assumes a customer buys a thing once. A childcare program is the opposite: the same families, the same amounts, every week, for years — until a child moves from the infant rate to the toddler rate, a family drops Fridays, or a sibling starts in March and the household bill changes shape mid-month.

That is the actual work, and it is why a spreadsheet stops scaling somewhere around the sixth family. Billing software written for childcare keeps the rate attached to the child and the bill attached to the household, so a schedule change is one edit instead of an evening. What providers ask before they switch

How much does childcare billing software cost?

Ours is part of the plan rather than an add-on: $14.99 a month for up to 10 children, every feature included, larger capacities stepping up from there. Most childcare platforms price billing as a module on top of a base fee, so the number you are quoted is rarely the number you pay — ours is published in full on the pricing page.

Do families need to download an app to pay?

No. The invoice arrives by email with a payment link, and that link works in any browser. The parent app is there for families who want photos, daily logs, and messages in one place, but paying tuition does not require it.

Can families pay by bank transfer instead of by card?

Yes. Payments run through Stripe, so families can pay by card or by bank transfer and save whichever they prefer as their method.

What happens when an invoice goes unpaid?

Unpaid invoices get automatic reminders, so the follow-up is not a conversation you have to start. That matters more than it sounds: chasing money from a parent you will see at pickup tomorrow is the part of the job providers describe as the worst, and the fix is usually not a better script — it is not having to be the one who asks.

Do families have to use autopay?

No, it is their choice. Once a family saves a payment method, autopay covers the following cycles on its own, and most households switch within a cycle or two because it is less work for them as well. The ones who would rather pay each invoice by hand still can.

What happens when a child changes rooms or a family drops a day?

You change the rate or the schedule on that child and the next invoice reflects it. Rates live on the child and bills belong to the household, so a family with two children on different schedules still gets one bill, and a mid-month change does not mean rebuilding anything.

Do I have to move my billing history over?

No, and we would not recommend it. Close out the current month wherever you are doing it now, set your rates here, and start the next cycle in the app — enrollment, rate, and schedule per child, which for a program of ten is one evening.

Can I switch mid-year?

Yes, and mid-year is genuinely fine, because you are not migrating history — you are just starting the next billing cycle somewhere new. There is no better month than the one you decide in.

How should I tell families about the change?

Once, in writing, before the first invoice arrives, and say what changes for them: an emailed invoice with a link instead of a check or a payment app, and the option to save a card so it happens on its own. Programs that send that note ahead of time report almost no friction. Programs that let the first invoice be the announcement spend a week answering questions.

What makes this different from Brightwheel or Procare for billing?

Mostly scale and price. Those are built for centers with directors and administrators, and priced for them.
