How to manage a childcare waitlist without losing families

A simple system for tracking waitlisted families and reaching out before they enroll somewhere else.

A waitlist only works if you can find it. Too many programs keep names on sticky notes or in a notebook by the phone, and by the time a spot opens, half the families have already enrolled somewhere else, without anyone at your program finding out until they call to ask why nobody’s gotten back to them.

Capture the right information up front

For each family, record the child’s age, the schedule they need (full time, part time, specific days), when they want to start, and the best way to reach them. Without a target start date, it’s hard to tell who is close to giving up and looking elsewhere versus who has months of flexibility left. A family who needs care in three weeks and a family who’s planning a year out shouldn’t be sitting in the same spot on your list just because they signed up around the same time.

The quarterly check-in matters more than it looks like it should. Families’ needs change: a job falls through, a due date moves, another program calls first. A short message every few months, asking if a family is still interested and still needs the same start date, keeps the list honest instead of full of names that are technically still there but functionally gone.

Move fast when a spot opens

Families near the top of a waitlist are usually on two or three other waitlists too, since any parent looking for care learned early on not to put all their hope in one program. A same-day message the moment a spot opens does more to fill it than any amount of list organizing ever will, because the family at the top of your list is also near the top of someone else’s, and whichever program reaches them first tends to win.
